Ecoteer House Volunteer Coordinator – Perhentian 2018

As the Volunteer Coordinator you will be responsible for the day to day running of the volunteer program and be the first point of contact for participating volunteers. Working with the Project Leader and your colleagues you will develop a practical program that introduces volunteers to key aspects of conservation and community development around the islands.
As part of a small team you are also expected to provide cover for your colleagues and as such should ensure you have a full understanding of their roles and responsibilities.

Key Duties

ν Contact the volunteers at least 2 weeks before they arrive to confirm their arrival date and time and discuss suitable pick up arrangements.
ν Follow a daily schedule of activities making adaptations as deemed necessary.
ν Ensure ALL program introductions and safety briefings are given with all applicable forms signed and records kept.
ν Ensure ALL protocols and procedures are explained to volunteers prior to undertaking any activity.
ν Monitor volunteers throughout the program with attention paid to safety, morale and participation.
ν Facilitate volunteer meetings to gain feedback on the program and to identify key interest areas for long term stays.
ν Identify and utilize individual strengths amongst the volunteers and your colleagues.
ν Regularly review the program with your colleagues.
ν Develop presentations to introduce key subjects to volunteers and other interested parties.
ν Ensure the general upkeep of volunteer areas.
ν Ensure supplies of first aid equipment are kept at the appropriate level.
ν Ensure the upkeep of equipment used by volunteers.

Water Based Activities
ν You are responsible for guiding all new volunteers through the water confidence session where you will teach volunteers, whom may or may not be able to swim, about responsible snorkelling.
ν You are responsible for the safety of the volunteers at all times when in the water and MUST ensure all suitable safety precautions are taken – life jackets worn and floatation device with staff.
ν You must ensure all volunteers are back on the boat safely before you depart to the next destination or snorkel site.

Conservation and Community
ν Help with the collection of data from selected snorkel sites.
ν Identify and implement opportunities for sharing data.
ν Ensure safe practice when conducting Coral Watch Surveys and working with villagers.
ν Promote sustainable practices through projects and by sharing information.
ν Involve tourists in the program when appropriate.
ν Host a weekly safety and awareness briefings and information booth at resorts around the islands.
ν Take part in composting and recycling projects.
ν Work in the garden.
ν Involve in beach and/or village clean up.

School Clubs and Adult English Classes
ν With Project Leader pre plan and organize the school clubs.
ν Plan the lesson plans with volunteers and lead ALL the school clubs.
ν Write a review report for ALL school clubs.

Volunteer Accommodation
ν Ensure suitable accommodation is booked for the volunteers
ν Ensure the volunteers keep the accommodation in a clean and tidy state.
ν Ensure bedding is changed on a weekly basis and that all new volunteers have clean bedding.

General Requirements
ν Be a team player
ν High level of water safety awareness.
ν Ensure a good level of communication between yourself, Project Leader and colleagues at all times.
ν Undertake and demonstrate consistent planning of your workload and adhere to set deadlines.
ν Meet regularly with the Project Leader as the timetable of the project allows.
ν Assist the Project Leader in completing Risk Assessments, Operating Procedures and programme content as required.
ν Complete reports as required.
ν Provide cover for colleague’s leave and illness as required.
ν Do as your Project Leader asks you.
ν Ensure good financial management by detailing proposed and actual expenditure and filing receipts.
ν Travel for the purposes of work following agreed timetabling and budgets.
ν Provide adequate notice of any travel needed whether work related or personal.
ν Must display a professional example to volunteers and colleagues at all times.
ν Must adhere to all safety measures, protocols and procedures as directed by Ecoteer.
ν Must notify Project Leader of issues that affect the completion of set tasks.
ν You are expected to carry out daily house chores with the other staff on a rota basis.
ν Take on tasks in addition to the descriptions above as delegated by the Project Leader that are deemed fair, achievable within the present task load and within the person’s capability.

Personal Specification
ν Excellent communication skills and confident public speaker.
ν Good swimming ability and water safety awareness.
ν High level of organization and ability to meet deadlines.
ν Knowledge of the work of Ecoteer and marine conservation in Malaysia.
ν Teaching experience and good working and living with children.
ν Competent in using Microsoft Office.
ν A flexible and adaptive approach.
ν Must be comfortable in accessing assistance for a demanding role.

ν Free mixed dorm accommodation at the Ecoteer House in the Perhentian Islands Village.
ν 1 day off per week and a block of 4 days off per month during the project season (February to November).
ν All work related expenses (NOT TRAVEL TO OR FROM MALAYSIA)
ν Free Wifi internet
ν Written reference letter upon completion of internship

Start and End Dates
March 2018 – November 2018, min. 6 months.

We prefer longer durations and if you stay for the whole season we can offer an allowance of Rm250 per month from your 7th month onwards.
